Transforming Acquisition and Budget Management with Innovative Tracking and Transparency Solutions
Challenge
The Acquisition and Budget (AB) branch of our DHS client faced significant challenges in managing acquisitions, contracts, and requirements. It was difficult to maintain a comprehensive view of contract requirements, leading to delays in the clearance process and inefficiency in tracking license procurements. Additionally, there was limited visibility into the real-time status of contract execution and occasional instances of misallocated funds within the department.
Solution
Using Power BI, Aretum designed and implemented a comprehensive solution to address the lack of comprehensive viewing and limited visibility. These solutions provided a clear structure for managing contract requirements and workforce activities. In addition, we developed new trackers to assist with travel and training authorizations and enhanced the Procurement File, integrating essential components such as the Enacted Spend Plan, Status of Funds, and contract details.
Outcome
Our team dramatically improved the operations of the AB branch. The developed tools offered complete visibility into contract requirements, increased transparency, fostered collaboration, and streamlined the clearance process. The new license tracking system organized product data more efficiently, and the travel and training trackers helped recover approximately $100,000 in misallocated funds. The enhanced Procurement File became the authoritative source for tracking contract execution, enabling more effective fund allocation.
